Statement of General Policy

  •     to provide adequate control of the health and safety risks arising from our work activities;
  •     to consult with our employees on matters affecting their health and safety;
  •     to provide and maintain safe plant and equipment;
  •     to ensure safe handling and use of substances;
  •     to provide information, instruction and supervision for employees;
  •     to ensure all employees are competent to do their tasks, and to give them adequate training;
  •     to prevent accidents and cases of work-related ill health;
  •     to maintain safe and healthy working conditions; and
  •    to review and revise this policy as necessary at regular intervals, in line with Health and safety at Work etc Act 1974, Management of Health & Safety at Work regulations 1999 and the guidance provided by Health and Safety Executive.

Responsibilities of the Company

Overall and final responsibility for health and safety is that of Shahid Khan, who is also the designated Health & Safety (H&S) officer. He has the day to day responsibility for ensuring this policy is put into practice.
If working off-site, responsibility is delegated to the project manager responsible for the off-site work. They are also responsible to ensure health and safety standards are maintained and improved.
To ensure health and safety standards are maintained/improved, the following people have responsibility in the following areas:
Senior management   
  • To ensure that this policy is implemented throughout the organization.
  • To undertake risk assessment.
  • To approve action required to remove / control health and safety risks.
  • To ensure that the action required is implemented and to check that the actions have removed / reduced the risks

The Health & Safety (H&S) Officer   
  • With the help of designated staff, to draft, develop and update the Policy, instruction and guidance on behalf of the company.
  • To promote awareness of, and develop positive attitudes to health and safety at dotPeak.
  • To receive and consider all health and safety concerns raised by the employees.

Responsibilities of the Employees

All employees have to:
  •     co-operate with supervisors and managers on health and safety matters;
  •     not interfere with anything provided to safeguard their health and safety;
  •     take reasonable care of their own health and safety; and
  •     report all health and safety concerns to an appropriate person as detailed in this policy statement.

Health & Safety Risks Arising from Our Work Activities

Key areas of risk:
•    Regular computer use
•    Electricity
•    Fire
•    Manual handling
•    Slips, trips and falls
•    Stress
•    Substances hazardous to health
•    Environmental comfort factors
•    Solo working
•    Smoking
•    Hygiene & welfare
•    Visits to sites
•    Visits to clients premises
•    Verbal and/or physical abuse

Risk assessments will be undertaken by the dotPeak’s senior management and the finding of the risk assessment will be discussed at the monthly senior management meetings and any corrective action undertaken.
Action required to remove / control risks will be approved by the dotPeak’s senior management. The senior management are also responsible for ensuring that the action required be implemented and for checking that the actions have removed / reduced the risks.

Consultation with Employees

Employee representatives are designated on rotation basis and consultation with employees is provided via the monthly staff meeting and monthly dotPeak senior management meeting.

Safe Plant and Equipment

All staff & senior management are responsible for identifying equipment needing maintenance and report to the senior management.
dotPeak’s senior management are also responsible for:
  •     Ensuring that effective maintenance procedures are drawn up
  •     Ensuring that all identified maintenance is implemented.
  •     Checking that new equipment meets health and safety standards before it is purchased.
Any problems found with plant/equipment should be reported to Health & Safety (H&S) Officer or senior management.

Safe Handling and Use of Substances

dotPeak’s senior management are responsible for:
  •     identifying substances requiring a COSHH (Control of Substances Hazardous to Health) assessment,
  •     undertaking COSHH assessments,
  •     ensuring that all actions identified in the assessments are implemented,
  •     checking that new substances can be used safely before they are purchased,
  •     ensuring that all relevant employees are informed about the COSHH assessments.
Assessments will be reviewed annually or when the work activity changes, whichever is the soonest.

Information, Instruction and Supervision

The Health & Safety law poster is displayed on the staff notice board and leaflets are issued as part of the new employee induction process.
Health & Safety advice and responsibility for ensuring that our employees working at locations under the control of other employers are given relevant health and safety information is the job of dotPeak’s senior management.

Health & Safety Induction Training

Training will be provided for all employees by the Health & Safety (H&S) officer as regards induction and job-specific training. The training will be recorded on individual staff training records.
Training records are kept at the dotPeak’s headquarters.

Reporting Accidents & First Aid

All accidents and cases of work-related ill health are to be recorded in the accident book, which is kept at the dotPeak’s headquarters. The first aid boxes are also kept in this office.
The appointed first aiders are Shahid Khan and Egle Dagilyte and they are responsible for reporting accidents, diseases and dangerous occurrences to the enforcing authority.


To check our working conditions and ensure our safe working practices are being followed, spot checks will be undertaken between risk assessments by the H&S Officer.
S/he is also responsible for investigating work-related causes of sickness absences, for investigating accidents and for acting on investigation findings to prevent recurrence.

Emergency Procedures – Fire and Evacuation

The H&S Officer is responsible for:
  •     Ensuring the fire risk assessment is undertaken and implemented.
  •     Ensuring that escape routes are checked and clear every week.
  •     Checking that fire extinguishers are checked monthly and maintained annually by Chubb Fire.
  •     Ensuring that emergency evacuation / fire drills are tested every quarter.


Complaints under this policy should be raised with the Health & Safety (H&S) Officer who may take advice and, if appropriate, implement change. No person or supplier who raises a complaint is to suffer detriment as a result of raising the complaint.

Availability of the Policy

A paper copy of this Policy is kept at the dotPeak’s headquarters.
This Policy will be made available upon request to customers, suppliers, the local community and other interested parties. It will be displayed on our website.

Policy Review

This Policy and risk assessment will be reviewed annually or when the work activity changes (whichever is soonest) to ensure it remains current and reflects our business practices.

This Policy should be considered as part of a set of policies that include Quality Management Policy and the Environmental Policy.
